Position Summary

We are currently seeking a highly motivated Facilities Coordinator to join our Sheppard office. The Facilities Coordinator will be responsible for providing assistance to the facility management team, ensure the successful coordination of building-related activities, assist with the resolution of day-to-day facilities issues, and internal firm event management at our 50+ office locations.

 

Responsibilities 

  • Ordering and maintaining a suitable inventory of all office and kitchen supplies and ensuring consistent price monitoring and comparison

  • Working with the Facilities team, address all satellite office building maintenance concerns via Facilities Ticketing system including building maintenance issues (lighting, heating, cleaning), freight elevator booking for shipping / receiving after hours, etc.

  • Ensure that both building cleaning staff and kitchen cleaning staff maintain a professional appearance of all areas of the office
    Work with the Senior Facilities Coordinator to ensure the staff patio is setup in the Spring with furniture and planted flower boxes and work with outside trades to ensure proper patio closing in the Fall

  • Work with the Facilities team to participate in office moves and renovations, and support the planning and execution of internal events

  • Work with the Facilities team at the direction of the Facilities Manager to support the coordination of internal events (Our Corporate Social Responsibility Initiative- Kids Help Phone, Farber Fun Day, Year End Dinner, and other Marketing-related social initiatives)

  • Order business cards as required, and book staff photo shoots

  • Work with the Senior Facilities Coordinator to arrange, order, and distribute corporate year-end gift baskets

  • Work with the Senior Facilities Coordinator and outside service providers to ensure full functionality and service of water cooler, coffee service/machines, vending machine, and appliances

  • Other administrative duties and ad hoc projects will be required

 

Education 

  • Completion of a two-year College Diploma in business or a related field. 

 

Qualifications/Experience

  • Minimum of 2-3 years of previous Building Facilities/Office Administrative experience

  • Excellent time management skills and capacity to take directions

  • Ability to manage change and escalate issues as required

  • Strong attention to detail, well organized and possessing an above average ability in prioritizing and multi-tasking

  • Ability to work independently and effectively as an individual contributor or team participant

  • Ability to leverage organizational skills, problem solving, and creative thinking to manage day-to-day facilities issues

  • Excellent interpersonal skills, with excellent customer service, written and verbal communication skills

  • Must have a car and a valid driver’s license and be willing to travel to all our satellite offices as required
