Position Summary

We are currently seeking a Filing Clerk to join our Sheppard office.

 

Responsibilities 

  • Filing

  • Scanning new files into File Assure

  • Scanning various documents

  • Record Keeping

  • Storage and maintaining storage file lists

  • Retrieving files for various team members

  • Batching files for storage

  • Assist other team members with Clerical/Admin support

  • Receiving original records and filing

  • Maintaining income and expenses folder

  • Mailing NSF letters and warning letter for consumer proposal team

  • Receiving boxes of files, checking Ascend for Trustee Discharge Dates and recording on a spreadsheet for file destruction dates

  • Other duties as assigned

 

This role will also require reception relief duties which include

  • Answer phones, distribute calls in an accurate and efficient manner

  • Screening calls for Partners and Senior Managers (if requested)

  • Pick up messages left on general voice mailbox V/M and forward to appropriate persons

  • Take messages for callers who prefer not to leave a voicemail

  • Greet clients and issue parking validation tickets

  • Receive payments and issue receipts

  • Maintain attendance record

  • Distribute faxes as required

  • Prepare courier packages

Education 

  • High School Diploma

 

Qualifications/Experience

  • No minimum years of experience required

  • Organizational skills to manage and prioritize workload

  • Good communication skills to speak effectively with staff and other third parties

  • Polite phone etiquette
  • Interpersonal skills to deal with team members and staff

  • Good computer skills using Microsoft Outlook & Word
